How to apply for a stall at the Ephemera and collectables fair

Venue & Times:

Public:             10.00am to 3.00pm

(Society members:     from 9.30am)

Stallholders:                from 7.00am

 

NB: As part of the conditions of your acceptance as a stallholder, we request that you please honour your commitment to paying customers by refraining from packing up your stall before 2.30pm.

 

Please have your stall set up by 9.15am at the latest and please, no trading before 9.30am.

 

Access:

 

The car-park located at the rear entrance to the Town Hall can be used for unloading/loading. Use the access lane off Glenferrie Road between the Town Hall and the Police Station.

 

What will you be selling on your stall?

 

Please ensure you have confirmed with the Fair Co-ordinator the description of your stall for the listing to be provided to patrons on the day of the Fair.

 

Stall Space / Presentation

 

There will be 48 stalls located in the Main Hall (including the stage area).

 

All trestle tables will be approx. 2 feet 6 inches wide and 10 feet in length. Half-tables may be available depending on demand and locations, but can’t be guaranteed.

 

The trestle tables will be set up by the Town Hall workmen prior to our arrival on the morning of the Fair.

 

Security etc:

 

Name badges will be provided to all stallholders and to one “helper” per stall table.

 

Access to and from the rear entrance of the Hall will be available only to badge wearers and it should be noted the doors will be locked to stop entry from outside after 9.30am. It should also be noted that the Society does not accept responsibility for the safekeeping of stock. In view of the risk of theft or damage at a public event such as this, you are urged to take all necessary precautions to protect your property and cover your risk.

 

Also, please provide an adequate supply of bags for the purchases by your customers. Please ensure that purchased goods are always placed into bags – this provides an additional safeguard against customers mixing purchases with other items as they proceed from stall to stall.

 

 

Second Hand Dealers:

 

Your attention is again drawn to the Second-Hand Dealers and Pawnbrokers Act 1990. The Act and Regulations cover such matters as licences, maintenance of record books and signs. Intending stallholders who consider that they fall within the category of ‘second-hand dealer’ should make further enquiries with the Stonnington Council (Mr H Cockrane (03) 9823 1270).

 

Second hand Dealers must have their licences available for inspection if requested.

 

Pricing and description of goods for sale:

 

We recommend that all stock is clearly price marked (where possible) to avoid difficulties on the day of the Fair.

 

Please adequately describe your goods. Note that misrepresentation of goods is contrary to fair trading laws and will not be countenanced by the Ephemera Society. If you have reproduction articles for sale, please ensure prospective purchasers are aware that they are reproductions.

 

Smoking & Display:

 

Please observe the No Smoking requirements inside the Town Hall buildings.

 

The Town Hall insist that no nail, tacks, adhesives be used on walls (including blu-tack)

 

Ephemera Society Membership:

 

All stallholders must be fully paid-up members of the Ephemera Society. If your membership is not current, please arrange to remit your fee prior to the Fair.

Priority Stall Application:

 

Stallholders at previous Fairs have the opportunity of seeking a priority booking for the next Fair scheduled for Sunday 10 June 2007. If you wish to participate again and obtain a priority for securing a stall location, please complete this application, together with your payment, and return it as soon as possible. Alternative locations can be requested, however, the stallholder from the previous Fair will have preference if they have reapplied and paid.

 

Returning, or new, stallholders cannot be guaranteed a particular position at this stage, but  will have a priority consideration when allocations are made.

 

Note that priority bookings must be submitted with payment by Friday 01 June 2007. All applications received after this date will be processed in order of receipt.

 

Whilst we will endeavour to allocate the location you choose, allocations are made at our discretion to best satisfy the various requirements of our stallholders.
